How it Works?

Definitions: Businesses are companies, sole traders or private individuals who could use campus resources to support their research activity, projects or one off tasks. This could be anything from a research project in composite structures, market research for a product launch in another country or just getting a student to take some photographs of a specific location. Campus resources are both academics and students who have a valid email domain name from a recognised educational institute and are currently engaged in with the educational institute in employment or studies. Commercialisation opportunities are opportunities which involve Translational Research Activity (shorter term work focused on coming up with new products), Licensing of IP (intellectual property) and Start-Up Investment. |

Overview Business Projects ![]() Businesses post their projects here and receive offers from campus resources. Businesses can also invite resources to work on their project. The offers are only visible to the business so there is no open bidding. When the business finds a suitable resource they select them and agree a Statement of Work, appropriate milestones and the payment amount. Once the statement of work has been approved by both parties the business pays the agreed amount into an escrow account. The resource is notified via email when the funds have been deposited and can begin work. The escrow deposit provides a level of assurance to the resource that the funds are available for the work and the resource will be paid on time. On completion of the work (or milestone) the resource submits it to the business and requests approval. The business receives notification via email and has 14 days to respond. On approval the resource receives payment for the work. Where no approval is received within 7 days of the approval request the business is notified again of the pending approval. Where no approval has been received within 14 days the work is deemed to have been accepted and payment will be made to the resource. This is non-refundable. For large projects it is advised that a number of milestones are set-up to detail each step of the project. As each milestone is a billable item it allows both parties to gain mutual trust and understanding as they progress through the project. Using milestones also reduces the risk of non-payment where the work is deemed unacceptable by the business. In the case where the work presented by the resource is not accepted by the business, the escrow deposit is refunded to the business in full. The client has 14 days to approve or reject the work. If no approval is issued after 7 days the client is notified of the outstanding approval. If no approval is received after 14 days the funds are transacted to the resource and the client notified. There are no refunds for default on approvals. In the case where the client does not accept the work submitted they mark the milestone or project as incomplete and both parties are encouraged to resolve the issue. However, if the client refuses to accept the work and wishes to terminate the agreement they will receive a full refund from the escrow account. This is a good reason to include milestones in the project. That way the billing is incremental and in the case where the client is not satisfied with the work done the potential loss to the resource is limited to the milestone amount. Incremental billing through milestones will also help build trust between the parties which is standard practice is any business relationship. |

Commercialisation Opportunities This is where users can post Intellectual Property or Investment Opportunities to prospective investors or partners. Investment requirements could be monetary, knowledge based or time based (e.g. to build up a team for a start-up). The duration for IP/Investment Opportunities is 6 months. ![]() |

Fee Model Variable Fee Model - Transaction Example Business posts project with a budget of €550.00. The resource offers a quote of €500.00. The service fee is based on 9% margin and hence the quote to the business will be €545.95. Margin Calculation: €545.95 x 91% = €45.95 and €549.95-€45.95 = €500.00 If the business accepts this quote they enter the fee total (€549.95) into agreed amount section. Following the agreement and acceptance by both parties on the SOW (Statement of Work) the business transfers €545.95 into escrow. Credit card details are captured through the payment gateway provider. CampusRock™ does not retain any credit card details on our servers. The escrow account is a holding account for the client. When the funds are transferred into the escrow account the resource is notified that the funds have been allocated and can start the project. On completion of the project the resource marks the milestone/project as completed and submits the work to the client for approval. On approval the resource receives €500.00 and CampusRock™ receives a service fee of €49.95. The service fee includes transaction and VAT costs (where applicable). In the event where the resource is VAT registered this will be included in the invoicing and added to the resource fee as a separate line item during the quotation process. All VAT details will be shown on the invoices and receipts. Resource fees are transacted within 7 days of their work being approved. |

Flat Rate Model - Transaction Example Campus Projects and Services and Commercialisation Opportunities are based on a flat rate. In this case the user posts their project, service or commercialisation opportunity and pay a flat fee for the posting. For Campus Projects and Services the user pays €25.00 (including VAT as applicable). Posting duration is for 6 weeks. For Commercialisation Opportunities the user pays €50.00 (including VAT as applicable). Posting duration is for 12 weeks. All invoices will include the VAT element as a separate line item. |

Registration Users can register for free. Users can register as a business or a resource. Business users can be companies, sole traders or private individuals. Resources can be students or campus (academic) employees. To register as a resource you will need a valid domain name of a recognised higher educational institute (e.g. another@nuigalway.ie) |

Resource Users Register on CampusRock Resource users indicate the type of resource (student or academic), location, institution, qualifications, area of study, job title and department. If your institution is not listed you can add it. This will be subject to verification. Users should also add VAT details where applicable. Where the user is representing the institute (for example if the resource is doing work on behalf of the institute) they should enter the institute VAT details. Some institutes have claims on any IP created by their employees or students when working on projects as part of their research or academic studies. Resources should be aware of these requirements and indicate any such arrangements when engaging with potential clients. ![]() Contact Info Resource users can add their account information.
